Learn how to view, navigate, annotate and download the board book

Board book

The board book is a compilation of all the documents in a meeting. It's an essential part of any meeting.

Participants of a meeting can view the board book as soon as it's published by the secretary. Any participant can view, annotate, download and sign documents within the board book.

Open and navigate the board book

  1. Go to the Meetings and select a meeting.

  2. In Agenda, select Open board book. (Or, select the download icon to download a copy.)


The board book opens and contains a list of agenda items and tools to annotate the documents, if required.

Download the board book

This feature is enabled by default but can be disabled. If you don’t see the download board book icon, speak to your iDeals Board administrator. Administrators: If you want to enable or disable this feature, please contact Support.

Meeting participants can download the board book, as PDF, to read offline. This is useful for those who prefer to read the board book on their own device or print a copy.

  1. Go to Meetings and select a meeting.

  2. Select the download board book icon (next to Open board book).

3. You may be asked to authorize pop-ups. Select Always allow then select Done.

A message is displayed while the PDF is generated.

The book is downloaded to the default download location on your device, named ‘Board book - Group Name - Date of meeting.pdf’. You can rename the board book once it is downloaded.

In your downloaded file, all pages will be automatically numbered. The pages will be numbered from the number one, from the page following the cover of the Board Book and its agenda.

Besides numbering the pages, each page will also provide information on which agenda item the particular Board Book page relates to, as well as the attachment name.

Unavailable documents in the downloaded Board Book

If the secretary has closed access for a user on any agenda item and a document has been attached to that item, that document will not be available to the user in the downloaded Board Book.

Instead, the user will see a message indicating that the document is unavailable:

Navigate

The last page you viewed is shown. Simply scroll to page through all documents in the board book.


You can select any document in the agenda panel to view it and you can go to specific pages using the pagination control at the bottom of the document:

To hide the agenda panel, select the arrow. (Select it again to show the agenda panel.)

View and annotate

The document viewer toolbar allows you to change your view, annotate, and search the board book.

Pan
Select to drag and move the document when zoomed in

View more of the document with smaller text

Zoom in
Get a closer view of the document

Fit

Switch view between fit to width and fit to page

Draw
Use to underline or draw a shape. Switch off to select and make your drawing public or delete.

Highlight
Use to highlight selected text or areas of the document. Switch off to select and make public or delete.

Sign
Draw, upload an image, or type and format a signature. Signatures are visible in the document when you select Done. Select it to delete.

Add note

Add a note to the document. Switch off to select and make public or delete.

Search

Opens the search panel where you can enter a search term.

When you add an annotation, it's private. To make it visible to other participants, select it then select Make public. Your annotation can now be seen by you and others.
