Find out how to use your dashboard if you're a secretary of a particular meeting

Navigate your dashboard

Your dashboard is where you land when you log in to iDeals Board. It shows upcoming meetings and tasks that need your attention.

Create a meeting

You can create a new meeting in seconds, directly from your dashboard.

Prepare for a meeting

When it’s time to prepare for a meeting, your dashboard will show more information about the meeting.

Here, you can see:

  • Basic information about the meeting, including how many participants have responded

  • A tip to prepare for the meeting

  • A checklist of the main tasks that need to be completed and the due date

The main tasks have due dates and are set to default values based on the most common rules written in corporate bylaws. You can change these values for each user group. If you're an administrator or a secretary, find out how to set task due dates.

You’ll need to complete the following tasks:

  • Сreate an agenda

  • Add documents to the agenda to create a board book

  • Publish the agenda and board book

Before the meeting

You’ll receive a reminder three days before the due date to complete any outstanding tasks.

We don't send reminders on weekends.

Select a task to complete it. As tasks are completed, the dashboard shows the latest status.

Once you’ve completed all the tasks to prepare for the meeting, keep an eye on your dashboard.

  • The day after publishing the board book, we'll let you know who hasn't opened it yet.

  • The participants' progress with the board book is displayed in a blue banner along the top (see below image). This appears at the half-way point between publishing the agenda and the day of the meeting.

  • You can also view who's responded, so you can send reminders.

Select Send a reminder to find out who hasn't opened the book. You can choose who to send a reminder to and add a note.

Select Send reminder to notify them.

You can also view the current status of book interaction and remind participants again if required.

Once your tasks are completed and all participants have prepared for the meeting, your dashboard will look like this:

On the day of the meeting

It’s meeting day! Your dashboard timer will help you focus on everything you need to do to run a successful and efficient meeting. You can view the physical location of the meeting, join via video conference, or proceed to the meeting page to start working on the meeting minutes.

Manage post-meeting tasks

Once the meeting is finished, your dashboard will prompt you to work on the meeting minutes.

You have two tasks to complete:

Once your post-meeting tasks are complete, your dashboard will update and you can get ready for your next meeting!

View recently shared documents

Your dashboard shows any documents that have recently been shared with you and when they were shared. Select a document to view the content.

Recently shared documents are displayed until they're opened and for two days after opening.

If there are no documents shared with you, this section will not appear on your dashboard.
