General information
The RSVP Report provides not only overall meeting attendance statistics for all groups, but also attendance statistics for each individual user. This is important not only for identifying patterns of attendance/absence in meetings, but also helps you comply with all compliance regulations in your company and/or jurisdiction. To access RSVP Report in the iDeals Board - click on the “Reports” icon in the left pane.
Reports functionality is available only for users in the Administrator and Secretary roles in at least one group.
By default, the report will open with the most important filter values: by all groups and users in them available to you for the last 365 days.
Only active users will be included in the report, even if there is no data for them. Users in the “Guest” role will not be reflected in the report.
In the filter by groups you will see all groups available to you.
If you are an Administrator - all active groups present in your workspace,
If you are a Secretary - all active groups in which you are a secretary will be available to you.
Date filters cover the most important time periods:
Last 365 Days: from 365 days ago till current day. If the workspace creation date is less than 365 days, the filter shows data from workspace creation date till the current day.
Last Year: from January, 1st previous year till December, 31st previous year.
This Year: from January, 1st previous year till current day.
Last Quarter: from the beginning of the previous quarter till the end of the previous quarter.
This Quarter: from the beginning of the current quarter till current day.
All: from workspace creation date till current day.
The “Last Year” filter value will only become available when your workspace has been created long enough ago to display this data.
Summary section
This section shows summary information for the filter values you have selected:
Total number of participants in the selected groups
Total number of meetings held within the selected groups during the selected time period
Total percentage of users responding to RSVP meeting invitations
The options duplicate the possible RSVP responses to invitations.
Hover your mouse over the pie chart to make the answer you are interested in more explicitly highlighted. This works the other way around as well: hover the mouse over an RSVP response option for more explicit highlighting.
Table section
The table section provides:
The entire list of users,
RSVP response statistics for all meetings of specific users
Dates of the user's last activity, to better analyze their responses
User's current status in the system (Active, Deactivated, Pending)
Click on the user row to see detailed statistics for each individual user:
Here you will see how a certain user responded to all invitations to all meetings. “Closing” a user is done in the same way: click again on the same user and his data will be hidden.
By default, users are in a “closed state”. You can open each of them one by one and close them one by one, but you can also use the “Expand/Collapse All” function.
Table export
You can also export this report as an xslx table or pdf file. To do this - click on the Export button and select the desired format.
XSLX table is a two-page document.
The first page is general information on all meetings.
The second page is detailed information on all users.
A PDF file is structurally the same, but combined into one common file.
RSVP Report - is the first report of many that iDeals Board will provide to its users in the future. Stay tuned for more updates on new features.
