Receiving an invitation
When a meeting invitation is sent out, participants of the meeting will receive a Meeting invite via email, and an update within Board on the meeting page and their own Dashboard.
Respond to invitation
Meeting participants can give RSVP responses immediately after the meeting is published. This ensures timely communication and planning for all involved.
RSVP responses can be given by meeting participants right after the Meeting is published from 3 different areas:
Meeting invitation
Meeting page
Dashboard
Editing RSVP Responses
Participants have the flexibility to edit their RSVP responses at any time, without any time limitations. This allows for adjustments based on changing schedules or preferences.
When meeting participants open the meeting page after it's published, the Going? button is displayed prominently in the top right corner of both the Meeting page and the Dashboard.
Clicking on the Going? button opens a drop-down menu with the following options:
Yes, in person
Yes, virtually
Maybe
No
After selecting an option, clicking on it will change the button to RSVP.
Clicking on the button again will display the currently selected RSVP option in the drop-down menu, but it won't perform any action if clicked.
In case of an error, a toast message will be displayed indicating the issue.
Submit additional information
When selecting Maybe and No, invitees will be allowed to reply with an additional note to the secretary to give greater context on their situation.
Corporate Secretaries will receive a notification with the response and the additional note from the Board Member in the same email notification.
Modified meetings
Whenever a meeting date, time, or group changes, the RSVP resets to default (Everyone’s RSVP except the Corporate Secretary becomes Pending). Board Members need to respond again to the meeting.
iOS and Android Apps
The process remains consistent across both platforms for a seamless user experience.
Participants can access the Going? button and the drop-down menu with the same options as on the web interface.
Similarly, selecting an option changes the button to RSVP.
Participants can view their RSVP response without refreshing the page.
If there's an error during the process, a toast message will alert the user.
By following these steps, you can efficiently respond to meeting invites and ensure smooth coordination for all participants. If you encounter any difficulties or have further questions, feel free to reach out to our support team for assistance.
