Users report overview

Learn how to filter, sort and export the User report

The Users report helps workspace admins and secretaries understand the makeup of users across groups — including who’s active, how long they’ve been involved, and other key demographics.

You’ll find this report under Reports > Users.

Filtering the report

To tailor the report to your needs, use the filters at the top of the page:

  • Group – Choose one or all groups. Secretaries will only see groups they manage.

  • Status – Filter by user status:

    • All statuses (default)

    • Active

    • Deactivated

    • Pending

As soon as you change a filter, the report updates to reflect your selection.

What you’ll see in the report

1. User summary charts

At the top, pie charts give you a quick visual breakdown of:

  • Tenure – See how long users have been involved

  • Age – Based on the date of birth entered

  • Gender – Based on profile selections

Hover over any segment to see exact numbers. Charts only show categories that apply to your filtered users. If there’s no data, the chart will reflect that.

2. Detailed user table

Below the charts is a table with individual user details and group participation.

You’ll see:

  • User status – Active, Pending, or Deactivated

  • User name – Hover to see their gender and age

  • Tenure – Shown in years and months (e.g. 2y 3m)

Group roles – For every group a user belongs to, their role is shown as:

  • ✅ Member

  • ✳️ Secretary

Deactivated users are shown in grey for clarity.

Sorting the table

You can sort the table by clicking on a column name. Each click rotates through three states:

  1. Ascending (A→Z or oldest→newest)

  2. Descending (Z→A or newest→oldest)

  3. No sorting (removes the sort on that column)

Available columns to sort:

  • Name (first name, then last name)

  • Status (Active → Pending → Deactivated)

  • Tenure

  • Group role (Secretary → Member → Not in group)

The table is scrollable in both directions — the first few columns remain fixed when scrolling sideways.

Exporting the report

Click the Export button to download the report as an .xlsx or .pdf file.

Your export includes:

  • A User info tab with user-level details

  • A Group roles tab showing which users are in which groups, and in what role

The exported file uses your current filters, and includes the workspace name, group (if filtered), and today’s date in the file name.

If no users match your filters, you’ll see an empty state message.
