Work with the Directory

The Directory area allows administrators and secretaries to add users and groups and edit them. When you add a user, you can assign their role for each group they're a member of.

Roles

A user's role determines the permissions they have to access Ideals Board. The following roles are defined and can be assigned to users when they are added to Ideals Board:

Administrator

The highest level of permission and the administrator of Ideals Board. Admins have access to all areas and are responsible for managing groups and user access.

Secretary

Has view and edit access to certain groups, as applied by the administrator.

Group member

A member of a specific group or groups, with permission to view all items in it.

Guest

These users are not members of any particular group and can only view items they have been given view access to.

Applying user roles means that:

  • Users only have access to the documents they need

  • Each user, depending on their role, can focus on their tasks

  • You can quickly change user access to any information, as required

This is available for both Users and Groups to help teams find what they need instantly.

How to sort by column label

To sort your table, simply hover near the column label and press the icon. This works for all the columns, Name, Status, Group, Profile info %, and Last activity


​How to Search

Click into the Search box and type your query and press enter. If you have a matching result, this will appear below.

How to filter

Within the Search box, click the filter icon.

Here you will find the filters for Group or Status:


Once selected, the directory will automatically filter according to your settings.

To clear your filter, press Clear all in the filter dropdown.

You can export Users or Groups to share or analyze your data outside Board.

This will trigger a download of an XLSX file for whatever options you have filtered. If you have no filters on, the whole directory will be exported.

The available information on the export is:

  • First name

  • Last name

  • Job title

  • Email

  • Status

  • Last activity

  • Groups and roles

  • Board position

  • Tenure start date

  • Tenure end date

  • Phone

  • Date of birth

  • Gender

  • About
