AI minutes helps you create a first draft of your meeting minutes using your meeting transcript. It reduces the time spent capturing everything manually and lets you stay more focused on the discussion.

AI minutes doesn’t replace the role of the secretary. Instead, it gives you structured notes you can review, edit, and copy into your official minutes.

What AI minutes does

AI minutes generates a draft summary for each agenda item based on your meeting transcript. You can:

  • Review the AI-generated minutes in a side panel

  • Copy full agenda-item summaries or individual paragraphs into your minutes

  • Open and search the full transcript

  • Copy verbatim comments if needed

  • Delete the transcript or AI minutes at any time

This keeps you in full control of what goes into the final record.

What you need before you start

AI minutes supports manual transcript upload only. You’ll need:

  • A VTT transcript file

  • A transcript generated by Zoom or Microsoft Teams (officially supported and tested)

Transcripts from other providers may work but aren’t officially supported.

Don't want to use AI minutes at all? The whole feature can be turned off in workspace settings. The tab AI minutes tab will then be hidden.

Upload your transcript

  1. Open your meeting.

  2. Go to the AI minutes tab.

  3. Select Upload transcript.

  4. Choose your .vtt file from your computer.

Once uploaded:

  • The transcript appears in the side panel.

  • AI minutes will automatically generate after the meeting has ended.

  • It may take a short time to appear.

Use the AI minutes panel

The right-hand panel includes:

AI minutes

A drafted summary of the discussion, organised by agenda item. You can:

  • Copy the entire item into your minutes

  • Copy only selected paragraphs

  • Ignore anything that isn’t relevant

Transcript

The full transcript of the meeting. You can:

  • Scroll through or search for key points

  • Copy verbatim statements into your minutes

Delete AI minutes or the transcript

If you no longer want to keep these artefacts:

  • Open the AI minutes tab

  • Use the delete options for AI minutes or Transcript

Deleting removes the files from Board only. Your transcript will still remain in Zoom or Teams.

💡 Timestamps for each generated paragraph are provided, so secretaries can double check the "sources"

Tips for better AI minutes

  • Use transcripts generated directly from Zoom or Teams for the best results.

  • If your meeting includes speaker identification, AI minutes will produce more accurate summaries.

  • Make sure the meeting’s agenda items correspond to the content of the transcript.
