AI minutes overview

Learn all about how to use the AI minutes feature, including how to enable it in your workspace

AI minutes helps you create a first draft of your meeting minutes using your meeting transcript. It reduces the time spent capturing everything manually and lets you stay focused on the discussion.

AI minutes doesn’t replace the role of the secretary. It gives you structured notes you can review, edit, and copy into your official minutes.

What AI minutes does

AI minutes generates a draft summary for each agenda item. You can:

  • Review the AI-generated minutes in a side panel

  • Copy full agenda-item summaries or individual paragraphs

  • Open and search the full transcript

  • Copy verbatim comments if needed

  • Delete the transcript or AI minutes at any time

This keeps you in full control of what goes into the final record.

Don't want to use AI minutes at all? The whole feature can be turned off in workspace settings. The tab AI minutes tab will then be hidden.

How transcripts are retrieved

AI minutes now supports two options for transcripts:

1. Automatic transcripts (recommended)

When you connect Zoom or Microsoft Teams, transcripts are retrieved for you after the meeting ends. You don’t need to upload anything manually.

To enable this workflow:

  • Reconnect your Zoom or Teams integration (the integration has been updated)

  • Use a paid Zoom or Microsoft 365 account

  • Recording + transcription must be turned on in Zoom or Teams

Board will guide you through any setup steps with banners and reminders.

Automatic transcripts appear as soon as the conferencing provider processes them (usually within a few minutes after the meeting ends).

2. Manual upload

You can still upload a transcript file if needed. Supported formats:

  • .vtt files from Zoom or Microsoft Teams

  • Files from other providers may work but aren’t officially supported

Use cases

Automatic transcripts allow you to:

  • Simply start your meeting and let transcripts and AI minutes appear afterwards
    Enable recording from within Board if it wasn’t enabled in Zoom

  • Continue using your existing Zoom meeting links after reconnecting your account

For Microsoft Teams, transcripts are only available for new meetings created using Outlook + Teams.

Upload a transcript manually

  1. Open your meeting

  2. Go to the AI minutes tab

  3. Select Upload transcript

  4. Choose your .vtt file

Once available:

  • The transcript and AI minutes appear in the side panel

  • AI minutes may take a few minutes to generate

The panel includes:

Transcript

The full transcript of the meeting.

You can:

  • Scroll, search and reference key points

  • Copy verbatim statements into your minutes

💡 Timestamps for each generated paragraph are provided, so secretaries can double check the "sources"

AI minutes

A drafted summary of the discussion for each agenda item. You can:

  • Copy the entire agenda item

  • Copy selected paragraphs

  • Ignore anything not relevant

Delete AI minutes or the transcript

If you want to remove these files:

  1. Open the AI minutes tab

  2. Select Delete AI minutes or Delete transcript

Deleting only removes the files from your workspace in Board. Your transcript will remain in Zoom or Teams.

Tips for better AI minutes

  • Use transcripts generated directly from Zoom or Microsoft Teams

  • Make sure recording is enabled before the meeting starts

  • Speaker identification helps improve accuracy

  • Match your agenda items to the discussion for clearer structure
