What are AI features, and how do they help me?

We understand that data security, confidentiality, and compliance are top priorities—especially when it comes to sensitive board information. Here's how we protect your information:

  • Your data is never used to train AI models.
    AI output is generated without using any of your content to fine-tune or improve model performance.

  • Everything stays within the Ideals secure environment.
    All AI features run within the protected Ideals infrastructure, built on Amazon Bedrock and backed by AWS security standards like SOC 2, HIPAA, and ISO 27001.

  • End-to-end encryption.
    All data is encrypted in transit and at rest. Even during AI processing, it stays within the Amazon ecosystem.

  • No data crossover.
    AI responses are scoped to your project only. There is no risk of another client accessing your information.

  • AI-generated content can be deleted at any time.
    You’re always in control. Delete content permanently and irreversibly whenever you choose.

  • Optional by design.
    AI features can be enabled or disabled at the project level. If your team or clients prefer not to use them, that’s completely supported.

Like all AI tools, there’s always a possibility of inaccuracies or "hallucinations" – results that sound convincing but are incorrect. That’s why we recommend:

  • Always reviewing AI-generated content and summaries before sharing

  • Using AI to speed you up, not make final decisions

Can I opt out of using AI features?

Yes. Admins can disable AI at the workspace level. You’ll still be able to use the full platform without any AI assistance.

Where is my data processed and stored?

All data, including AI data, is processed and stored within the Amazon Web Services (AWS) ecosystem using encrypted infrastructure. AI data is processed in the same AWS region as your hosting. For example, if your data is hosted in the EU, all AI processing also takes place in the EU. In Canada, data may be processed in a different AWS region — but it never leaves the secure AWS environment.

Who can see my data?

Only you and your project team. AI outputs are scoped to your project and your permissions. Nothing is shared across clients.

Can I delete AI-generated content?

Yes. You can delete any AI-generated notes whenever you like. Deletion is permanent and irreversible.
